Job Title: Facilities Manager

Location: Bristol, BS1

Start date: As Soon As Possible

Hours per week: 35

Salary: £17k-£20,500k (dependent on experience)

Meanwhile Creative is a young, fast-growing organisation based in central Bristol. We unlock vacant commercial properties and repurpose them for business, creative and community use. Our pilot project began in the New Bridewell Police Station; we were able to offer 30 private studios, a social enterprise business incubator, a private gym and band rehearsal space, housing over 50 local businesses – artists, upholsters, woodworkers, app developers, journalists, and much else besides.

We now operate four buildings across Bristol and are currently preparing for national expansion. Though the company is small, there is scope for progression and great opportunities to make a tangible impact. We are looking for someone with good communication and problem solving skills who is flexible, self-motivated and independent, who isn’t after a normal office job – often you will be left to get on with tasks and manage your own time.   Your job tasks will include, but will not be limited to:

Building Management

• Troubleshooting facility problems reported by tenants and staff
• Responding to requests from tenants to make alterations to space
• Booking appropriate contractors to solve maintenance issues
• Managing costs of essential maintenance and ‘odd job’ work by contractors
• Checking that agreed work by staff or contractors has been completed satisfactorily
• Responding appropriately to emergencies or urgent issues as they arise
• Ensuring that statutory health and safety requirements are adhered to as well as keeping up to date with changes

Future Projects:

• Planning systems for future building development
• Planning and coordinating essential central services such as reception/security, maintenance, post, cleaning, waste disposal and recycling
• Assisting the Managing Director in project management and coordinating work of contractors
• Calculating and comparing costs for required goods or services to achieve maximum value for money
• Ensuring the building meets health and safety requirements and that facilities comply with legislation

Finance:

• Ensure swift payment of invoices
• Managing direct debits and regular payments
• Monitoring rent invoices and late payments
• Inputing accounting data into databases with speed and accuracy
• Organising petty cash and paying in rent
• Assisting in the production of financial statements and applications
• Assisting in budgeting for new and existing buildings
• Resolving finance related issues from tenants and services
• Liaising with the accountant regarding HMRC and payroll

General:

• Providing cover/additional support to all staff members
• Answering phone calls
• Maintaining good relationships with tenants
• Collaborating with colleagues on networking and tenant events
